AUDITWARE ENGINE UPDATE
12/30/00
1) When printing lead sheets in Report Master, you are now prompted as to
whether you want to include all funds in the same report or print a separate
report for each individual fund within the fund type you have selected.
2) "Notes to Prior Users" has been removed from chapter 1 of the user manual (and online help) and placed in a separate chapter. The 1999 changes have been removed but the 2000 changes have not yet been added.

1) In the rare case that a fund name begins with a year, the year is now
retained in the fund name for all products except Audit I.S.D. for Texas School
Districts (where the year is used to designate the project year). This affects
Report Master, individual fund financial statements and combining financial
statements.
2) GO_TO has been added to the menu which appears in the Individual Function Code Definitions setup or the Individual Object Code Definitions setup. This allows you to "go to" the first occurrence of a particular fund number, function/department code or object code which you specify, instead of having to "page down" endlessly to look for an account. It is particularly helpful in the object code definitions when fully detailed accounts have been entered or imported and hundreds if not thousands of accounts are involved.

1) A problem has been corrected introduced in the 12/19/00 version associated with
loading the FieldWork module while running Audit I.S.D. for Texas School
Districts. The TSD product must be downloaded and installed as well.
2) For the benefit of ALG users, you may now limit a "MIN/MAX" to a specific fund number. See Chapter 8 of on-line help "Setting up the Chart of Accounts" for details.
3) For the benefit of ALG users, the row number of financial statement setups are displayed and printed automatically. This assists in verifying the accuracy of the "Keep this row always" column when it is used to relate the active status of one row with that of another (see 10/30/00 Update, item 2 below).
4) The Exhibit/Table column of the table of contents has been adjusted to accommodate exhibit numbers greater than 99 (Exhibit B-100, etc.).

1) The fund type is now displayed on the fund list when you select GO_TO, INPUT,
TRIAL_BALANCE from the FieldWork menu.
2) The "actual" column is now shaded on combining budget comparison statements for up to 81 funds, rather than for just the first 27 funds of a fund type.
3) Individual fund statements are now included on the table of contents even when no combining statements are active for their fund type.

1) When loading the Schedule of Instructional Time (California school districts)
from the FieldWork module, the format is now set to round pennies and to
automatically calculate formulas.
2) The engine date has been added to the opening screen of the FieldWork and OfficeWork modules.
3) When saving a trial balance and data columns are being updated: A. The name of the setup is displayed instead of its file name (i.e. General Purpose Operating Statement instead of S-GPOS); and B. Individual fund setups are only updated for those funds for which an individual fund financial statement has been activated by the user. While this saves significant time in saving trial balances or running the "Refresh the current client's data files" command, it means that you will need to re-save the trial balance if you activate an individual fund statement for that fund.
4) You are now provided an appropriate message instead of an error message when the setting "Include inactive balance sheets on combining statements?" is set for NO and you have multiple funds for a fund type but all of them are inactive.
The following changes are important primarily to users of AuditWare for Local Governments:
5) A "SAGS2" column is now provided in the setups for individual function code and object code definitions so that you may re-use the same account codes in SAGs on two different levels. In the function code setup, for instance, you could place SAGs for broad functions (General Government, Public Safety, etc.) in one column and SAGs for departments (Police Department, Fire Department, etc.) in the other column. This allows you to see their relationship easily and prevents having to use the stand-alone list of SAGs for this situation.
6) When in using the Ctrl C or Ctrl I quick keys from a trial balance to change account definitions or to revise SAGs, all changes are immediately loaded into the FieldWork module. While this provides an easy way to change SAGs "on the fly" and debug them, remember that if you make changes affecting funds other than the one which is currently loaded you must select "Refresh the current client's data files" from the FieldWork Utilities menu to update those funds as well, before creating financial statements in the OfficeWork module.
7) The first set of MIN/MAXs from the Chart of Accounts financial exhibit setup now appear on FieldWork "Statement" reports (GO_TO, REPORTS, STATEMENT), including SAG names. This is to aid in finalizing your work while setting up the chart of accounts.
8) When you inadvertently place a SAG name in the MIN column of an exhibit setup instead of the MAX column, the message which appears while updating data columns now specifies the SAG name which is involved.
9) A new SUM "formula" is now available for use in the MIN column of financial exhibit setups for summing up a column of numbers when use of a MIN/MAX or SAG is difficult. Using SUM 7, for instance, will add up the seven rows immediately above, including blank rows, SUM 12 would add 12 rows, etc. It should be used sparingly, since if you subsequently insert more rows in the range being added up you have to remember to change the number on the SUM formula (i.e. SUM 8 instead of SUM 7, etc.).
10) In the rare instance that a client is started with the wrong AuditWare product, the product associated with that client may now be successfully changed to another product by calling the support line (it is not necessary to start over), even when changing from a product with a variable chart of accounts (ALG or CSN) to one with a fixed chart of accounts (CSD or TSD) . This relates primarily to California users, some of whom are using three AuditWare products (CSN, CSD and ALG).
11) Chapter 8 of the user manual (and on-line help), "Setting Up the Chart of Accounts," has been revised to include these changes and to give examples of their use.

1) When in the multiclient notes, selecting "Restore Default" from the
Utilities menu now restores the AuditWare default notes.
2) Balance sheets at all levels (General Purpose, Combining and Individual Fund) now appear on the "Statement" report menu in the FieldWork module (GO_TO, REPORTS, STATEMENT).
3) A number of other engine changes which relate primarily to the ALG product are explained on the ALG Updates page. For ALG users, the product must be downloaded and installed as well as the engine.

In a technical change, the process of relating the active status of one line of
a financial statement setup to that of another no longer causes the omission of
the first line of the setup.

1) It is no longer necessary to use a 3-digit fund number when changing
the "combine to" fund number in individual fund settings; 2) As a
convenience, "Set up the chart of accounts" has been added to the
AuditWare Tools and FieldWork Utilities menus; 3) The final message which
appears when backing up a client to diskette has been clarified to say that the
10,000 byte minimum applies only if only one diskette was required for the
backup; 4) For users of AuditWare for California School Districts (both
products) the final paragraph of the auditor's opinion letter now refers to OMB
Circular A-133 and the SEFA schedule even when not a single audit. While this
wording is not technically required, the State auditor's desk review checklist
requires it to be present in all cases.

12/2/00
1) There is now a new setting which allows you to include the word DRAFT
and the date & time at the bottom right corner of all audit report pages
when they are printed. It is in the "Printing, Page Numbers and
Pennies" category of settings and also appears under FREQUENT (frequently
used) settings.
The following only affect users of AuditWare for California School Districts: 2) Classes are no longer reset each time trial balances are loaded or saved. 3) The default number of pages for the Schedule of Financial Trends has been changed from 2 pages to 1 page.

Minor changes have been made as follows: 1) At a user's request,
adjustment numbers in the adjustment journal can now be entered as alphanumeric
(JE1, JE2, etc.) if desired. Also, journal entries having no dollar
amount in either the debit or credit columns are now automatically removed; 2)
Cells left blank in any account code column of the trial balance are now
automatically filled with zeros when the trial balance is saved; 3) The
method of setting offset numbers in OfficeWork settings has been changed to
prevent a rare technical problem.

1) In a major enhancement for users of AuditWare for Local Governments
(ALG), "To/From" accounts can now be used in financial statement
setups. Previously, separate "Due To" and "Due From"
accounts had either to exist in the client's chart of accounts or be added
arbitrarily. "Due To/From Debt Service Fund" is an example. Say the
client had several such accounts carried as assets in a fund with a mixture of
positive and negative amounts. This new feature will separate these amounts in
"Due From""s and "Due To"s and adjust the amount for
Total Assets and Total Liabilities automatically. A new column has been
added to the setup screen titled, "Treat as To/From Account?".See
chapter 8 of the user manual, "Setting Up the Chart of Accounts," or
on-line help for more information about use of this feature.
2) When in a trial balance (go_to, input, trial balance), Quick Key Help no longer shows by default at the top of the screen, allowing for more of the trial balance to be seen. Execute the Q quick key (Ctrl Q or Alt Q) to display the Quick Key Help.
3) When ALG users select financial statement categories involving SAGS to produce lead schedules in Report Master, all categories except "total" rows now are available for selection. Previously, the first and last category were sometimes not appearing on the selection list.
4) For Users of AuditWare for California School Districts, Ctrl J now justifies paragraphs to the proper column in the "Organization" exhibit.

1) On Exhibits A-1, A-2 and A-3, the word "fund" which appears in the
column headings describing fund types is now expressed either singular or plural
depending on whether there are multiple funds of that type. The general fund
continues to be expressed as singular.
2) The dates which appear in the column headings of the Schedule of Bonds now appear correctly when more than one set of facing pages is involved.
3) The exhibit label is now bolded on combining statements when more than 7 facing pages are involved.

In a major improvement to Report Master, lead schedules may now be generated for
SAGs (Specified Account Groups) by users of AuditWare for Local Governments
(ALG). Previously, selecting "Financial Statement" from the lead
schedule menu only listed the financial statement lines which used a minimum and
maximum in the setup as available.
Also, lead schedules now read all three sets of minimums and maximums when active in a financial statement setup. Previously only the first set was used. Since lead schedules are now created in exactly the same manner as the financial statements are created, the need to use "Custom" lead schedules should be much less frequent for users of ALG.
In a related change, the title bar of lead schedules now reports all categories and ranges of accounts included in the schedule, including SAG names.

1) The combining statements now carry "B" exhibit letters (B-1, B-2,
etc.) even when the general fund budget comparison statement is inactive. This
primarily affects users of AuditWare for California School Districts, since that
statement is not typically active in their reports.
2) For users of AuditWare for Local Governments, improvements have been made to the process of using a number other than 1 or 0 in the "Keep this row always" column of financial statement setups to relate the active status of one row with another.

1) A new question has been added to the "Questionnaire to the Letters"
which allows you to qualify the opinion on the financial statements for lack of
controls over student body funds. If the questionnaire has already been
established, select RESTORE_DEFAULT from the questionnaire menu to get the new
question.
2) When setting up the chart of accounts in AuditWare for Local Governments (ALG) there is a new selection on the UTILITIES menu, "Capture individual object code definitions from an ASCII file." You must also download the ALG product.
3) Custom lead schedules in Report Master now show in the report's header the categories of account codes selected.

In a major enhancement for users of AuditWare for Local Governments, it is now
possible to use multiple minimums and maximums for the same account code type
when setting up the financial statements. While there are three sets of minimums
and maximums which may be used on each line, previously each set used had to
specify a different code type since they were treated together with
"and" instead of "or." Now there is total freedom to mix and
match account code types. The first set can refer to object codes, for instance,
the second set could also refer to object codes and a third set could refer to
function (department) codes. When creating the financial statements, AuditWare
would treat the first two sets as "or" and the third set as
"and."
Having the ability to use multiple minimums and maximums for the same account code type greatly enhances the ease of setting up the client when it has an inconsistent chart of accounts or uses account codes out of sequence and should make the necessity of using Specified Account Groups (SAGs) much less frequent. The line for "Cash," for instance, could refer to object codes 1110-1115, 1120-29 and 1131-1132, leaving out 1116-1119 and 1130.

1) For Audit I.S.D. users, the Indirect Cost Schedule now reports in column 6,
"Miscellaneous", all expenditures coded in the trial balances to the
6500 and 6600 lines of this schedule (all expenditures which would otherwise
appear in any of the first 5 columns is moved to the Miscellaneous
column). See also today's update of the Audit I.S.D. product which shades
out columns 4 and 6 on the 6211 row. These changes were precipitated by a
telephone conversation with Betty Richardson of the T.E.A. staff today. She
stated that it is not necessarily wrong to code 6500 and 6600 expenditures to
the organization codes which make up the first 5 columns of this schedule, but,
for purposes of this schedule only, they should be reported as Miscellaneous.
2) For ALG users, you may now use numbers other than 1 in the "Always keep this row" column of exhibit setups to relate the active status of one row with that of another. Placing a 5 in this column, for instance, means that this row will be active only if the 5th row of your setup is also active. Using a negative number (-5) reverses the relationship, meaning that it would be active if the 5th row is inactive and will be inactive if the 5th row is active. An example of its use would be if you had a "Fund balance as restated" row following a "Prior Period Adjustment" row but you want the "restated" row to be omitted if the prior period adjustment row is inactive. Previously, there were only two factors which controlled whether a row in the setup was active in the financial statements, whether it had a dollar balance and whether there was a 1 in the "Always Keep" column to force it active. Incidentally, a 1 still has the same meaning, so the first row of the setup cannot be referred to that way.
3) When you have more than 80 funds of any one fund type and therefore exceed AuditWare's capacity for a combining statement, a combining statement of the first 80 funds is now produced with a message on it that it does not include all funds.
4) There is now a setting as to whether the column widths in combining statements are automatically reset when they are printed. This is for special situations and should normally be set for YES. A NO setting is temporary (for the immediate session only). This means it will revert to YES if you don't go immediately from Settings to the OfficeWork module and print.

Several relatively minor changes were made to the table of contents: 1)
"Expendable Trust Funds" is expressed in the singular when only one
exists; 2) The word "Summary" has been added to "Schedule of
Prior Audit Findings" to be consistent with the wording on the schedule
itself; 3) in AuditWare for California School Districts when the questionnaire is set for using the word Auditors' instead of
Auditor's in "Independent Auditor's Report," all instances of that
word are now changed. Also, reference to the auditor report on state compliance
now omits the word "Auditor's."

1) When changing print margins with the Settings menu, it is now possible to
restore the default margins. 2) For users of AuditWare for
California School Districts, the letter to management, when active, has
been moved to be prior to the schedule of prior audit findings in the audit
report. It also now correctly uses FieldWork input when it is created in the
OfficeWork module.

This version was not posed to the web site. It was, however, mailed to
all clients on October 19th. All changes are included in the 10/19/00 and later
versions.
1) There is a new password for the CAFR add-in. It has been provided to
those firms which have purchased the add-in.
2) Chapter 2 of the user manual in online help and future printed versions has been revised to include information about the command "Make an install disk from a file downloaded from the internet" on the AuditWare Tools menu.
3) In the rare case that all general purpose statements are de-activated by the user, Exhibit B-1 now becomes Exhibit A-1, B-2 becomes A-2, etc.

1) For users of Audit I.S.D., on the indirect cost schedule the amount

A-2)" is now computed correctly.
2) A problem with using the Lotus for Windows "Style" menu to edit Exhibit A-5 has been corrected for new data periods.

1) The process of creating the opinion letter has been improved to
assure that the wording for a single audit is always added when the setting for
single audit is set for YES.
2) You are now prompted to answer whether the audit is a single audit at least once for each client, not just for clients which were in process when the setting was moved from the letter questionnaire to the "Client" category of settings. Since this feature is new, you may be asked again even though you have answered it previously.
3) Questions have been added to the "Questionnaire for the Letters" as to whether to include the line "Independent Auditor's Report" at the top of the G.A.S. and single audit letters. For reports in progress, you must select RESTORE_DEFAULT while in the questionnaire to have these questions available (which will lose any input you have made in the questionnaire) if you want to use this feature. The default answer for AuditWare for California School Districts is NO. For all other products it is YES (no change from the past).

1) For all users there is a new setting under the "Exhibit
Creation" category of settings entitled "Place all combining
statements in the same section of the audit report?". Selecting YES returns
the audit report to basically the same segmentation used last year (all
combining statements are B-1, B-2, B-3, etc., the "Combining
Statements" divider sheet is activated and all divider sheets for fund
types are de-activated. Selecting NO or activating the CAFR add-in reverses that
process. For reports in progress you will be prompted with a YES/NO menu. If you
select YES you will need to re-create the table of contents. The default setting
for future periods or reports is YES, except when the CAFR add-in is active.
For users of Audit I.S.D. for Texas School Districts, we contacted T.E.A. about our new report segmentation by fund type and they have no objection, but several users asked us to allow this option. We were also influenced by the fact that segmenting the report the same as the T.E.A.'s sample report saves the T.E.A. (and possibly some of your reviewers) some processing time. For users of AuditWare for California School Districts, this allows you to segment your audit report with the same sections as those of the sample report in the Controller's K-12 audit guide.
2) When new trial balances are created (FieldWork utility number 1), the data columns used by the OfficeWork module are now created automatically when you return to the main FieldWork menu. This prevents the OfficeWork module prompt "All trial balances must be re-saved" from occurring in this circumstance.
3) Combining cash flow statements for nonexpendable trust funds are now a part of the audit report when multiple such funds exist.

1) When creating financial statements and the setting "Include
prior year memorandum totals?" is set for NO, prior year amounts are now
ignored for determining whether a line is active.
2) The word "changes" has been added to the title of Exhibit A-3.
3) On combining general fund budget comparison statements, when active, the "Total Expenditures" line now uses single underlines instead of double underlines.
4) For users of AuditWare for California School Districts, a problem related to the automatic adding of class codes to the trial balances and associated with the last update has been corrected.

For users of AuditWare for California School Districts (CSD and CSN),
the classes for object codes 9790 and 9791 are now automatically set for EA
(retained earnings) when they are used in a proprietary fund trial balance or
adjustment journal. They will be set for FB (fund balance) initially in
adjustment journals but will change to EA when the journal is posted and saved.
This change allows retained earnings to be properly computed for the equity
section of the general purpose and combining balance sheets. For clients in
progress you will need to re-save your proprietary fund trial balances for the
change to be effective.

1) "Account Groups" is now expressed as
"Account Group" in the table of contents when only one account group
is active.
2) For users of AuditWare for California School Districts (CSD and CSN): a) The multiclient notes feature is now active for the CSN product in addition to CSD; b) The CTRL J (justify) quick key will now justify up to 12 columns in the Schedule of Financial Trends and Analysis instead of 10; c) A zero object code is now honored when the program automatically sets classes in trial balances and the adjustment journal.
3) When entering new entries in the adjustment journal, you are now prompted as to whether you want to use the last working paper reference you entered for the current entry. Also, if neither a debit nor credit amount is entered, the entire entry is erased and you are returned to the menu.
4) For users of Audit I.S.D., the column heading for fund 413, Telecommunications Infrastructure Fund, in the combining financial statements is now abbreviated as "TIF Grant" to ensure that part of the heading does not print on the facing page.

1) The command for entering prior year memorandum totals manually has been
returned to the FieldWork module menu which appears when you select GO_TO,
INPUT, OTHER_INPUT.
2) For users of Audit I.S.D. for Texas school districts, there is a new ALLOCATE command on the menu when in the FieldWork input file for the delinquent tax schedule. It allows you to enter the total collections for a year and have that amount allocated between maintenance and debt service collections (two new columns in that schedule this year), based on the respective tax rates that year. You must enter the tax rates in their respective columns first.

1) The default setting as to whether capital projects funds are
considered budgeted funds is now NO for users of Audit I.S.D. for Texas school
districts. For all other products the default setting remains YES. To change the
default setting for any fund, go to Settings, select CATEGORY, then
"Individual Fund Settings." Arrow to the desired fund and change the
setting which says "Is this a budgeted fund?" to your desired
answer. A NO setting excludes a fund or fund type from budget comparison
statements such as Exhibit A-3.
2) The default setting for representing zero amounts in exhibits has been changed from right aligned double dashes to centered double dashes for the TSD and ALG products.
3) When switching the drive letter for archiving client data and the client does not exist on the new drive, the name of the client now appears beside the file name when you select "Load a different client," HARD_DISK from the new drive.
4) The total number of prior year funds which may be used for creating prior year memorandum totals for combining statements is now unlimited.

A problem has been corrected whereby the SEFA schedule sometimes appears
twice in the audit report. While installing almost any subsequent update will
correct the problem, this update prevents its occurrence in the first place.

1) A problem in Report Master trial balance reports has been corrected
whereby certain accounts or adjustments were sometimes printing twice when using
Audit I.S.D. for Texas School Districts.
2) When printing the Schedule of Findings and Questioned Costs, it now repeats the schedule title on subsequent pages when the print range exceeds one page.

1) Corrects an occasional problem on the general purpose balance sheet
where the "Account Groups" column heading appears with a leading
"rooftop" symbol (i.e., "^Account Groups") rather than as
centered text.
AUDITWARE ENGINE UPDATE 9/6/00
1) The title of the audit report in the table of contents has been
changed to vary by product. In Audit I.S.D. and AuditWare for Local Governments
the title is "Annual Financial Report," and in AuditWare for
California School Districts the title is "Audit Report." In all cases
the title changes to "Comprehensive Annual Financial Report" when the
CAFR add-in is activated.
2) The sequence of the report and the divider sheets used has been changed to be
consistent with State sample audit reports. For Audit I.S.D. for Texas School
Districts and AuditWare for Local Governments this is relatively minor, removing
the "Federal Awards" section divider and merging that section with the
one preceding it. For AuditWare for California School Districts this is a major
change, establishing several new sections ("Supplementary
Information," etc.) and resequencing the report as a whole. In all cases
for reports in progress, check any manually set page numbers, since they may no
longer be appropriate.
3) The List of Principal Officials document is now inactive by default and must
be activated with the Settings Menu when you want to use it. Similarly,
the Individual Fund Statement for the General Fund is now inactive by
default in the California products.
4) The following new questions have been added to the questionnaire for letters: Include the governing body's address and zip code?; Include the audit firm's name at the bottom?; Use a short title for the opinion letter?; Qualify the opinion for omitting the general fixed assets account group?; and Express an opinion on the combining financial statements?. For reports which are in progress, answer YES when asked if you want to restore the default questionnaire.
You will note that some of the answers in the new questionnaire are formulas to
make the default answers vary by product. However, you may overwrite these
formulas by entering your desired answers.
5) The question as to whether this is a single audit has been removed from the questionnaire. It is now in the "Client" category of the Settings Menu and will now carry forward for future periods of the client unless changed.
The first time you "create" in the OfficeWork module you will be asked
if the current client is a single audit.
6) 9/7/00 To correct a problem in Report Master for the California products, reports now use generic rather than more detailed object code categories when providing subtotals and grand totals on Report Master reports. Lead schedules continue to have a menu option for the more detailed object code categories.

1) The process of creating the Schedule of Expenditures of Federal Awards (SEFA)
has been revised for Audit I.S.D. for Texas School Districts to insure that all
federal programs are included; 2) The SEFA has been revised for all other
products to omit the subtotaling of multiple programs of the same CFDA number,
since this is rare. This has the effect of revising the underlining process for
more appropriate presentation; and 3) In the notes to the financial statements,
the "Preview" feature has been changed to prevent an occasional error
in the process introduced in Version 8/15/00.

1) The manual deletion and insertion of columns in the FieldWork notes to the
financial statements is now supported. This will aid in editing certain notes
which contain column headings of fund types, not all of which are active for the
client. Be aware that the column widths must still match those of the preview
screen; 2) Zero amounts are now expressed as blanks, rather than as dashes, by
default in the California products; and 3) Links to other files are now
refreshed when loading the FieldWork footnotes to assure that all links are
current.

with a space in the MIN column of financial statement setups. This is to
accommodate ALG users who use the space bar to erase entries instead of using
the delete key.

in a CAFR are now active when the CAFR add-in is in use. Also, the question
regarding these schedules has been removed from the questionnaire for the

of contents and the report itself; 3) A new section (A.4) has been
added to Chapter 8 of the user manual, "Setting up the Chart of

1) To accommodate those using extra large monitors, AuditWare now loads
in a normal window rather than in a maximized one when running under Windows
95/98. To maximize the window, click on the double boxes at the upper right

1) Memorandum totals are now always provided on the combined budget
comparison statement (A-3). Previously they only printed if needed to fill out a

situations where the client has only one fund and one account group.

1) On the general purpose balance sheet, "Account Groups" is now
expressed in the singular when only one account group is active. This affects the
exhibits title as well as the column heading; 2) There is now a new setting under
"Exhibit Creation Settings" which allows you to change the line which refers to
the footnotes ("The accompanying notes . . .") to read however you would
like; 3) The column headings on the Summary Schedule
of Prior Audit Findings have been changed to be Finding/Recommendation; Current Status;
and Management's Explanation If Not Implement.
AUDITWARE ENGINE UPDATE (7/11/00)
1) A new selection, "Make a free trial install disk for ALG," has
been added temporarily to the AuditWare Tools menu. This is in connection with the free
trial offer of AuditWare for Local Governments (ALG) to all AuditWare clients which is
currently underway (see the "AuditWare News" page for more information). 2) A
new setting, "Check network drives when loading AuditWare or client data?" has
been added to the "Fieldwork and Miscellaneous" category of settings. The
default setting is YES. This setting allows you to "turn off" this feature when
you are not on a network and thereby speed up the loading process somewhat. You may still
use the AuditWare tool "List the active clients on all network drives" even when
this setting is set for NO.
AUDITWARE ENGINE UPDATE (7/4/00)
This update revises the OfficeWork "CREATE" menu for users of
AuditWare for California Schools (Non-SACS). It activates the special exhibits required by
the Controller's K-12 Audit Guide on this menu.
AUDITWARE ENGINE UPDATE (7/2/00)
1) A new LIST_ALL selection is now on the OfficeWork menu under GO_TO and
PRINT, allowing you to select from a list of all active documents. 2) A new setting has
been added under the "Exhibit Creation" category of settings for activating a
new add-in which will be announced soon (see the "AuditWare News" page). A
password is required for activation. 3) The cover sheet and the list of officials no
longer appear on the OfficeWork menus as separate selections. They are now considered part
of the introductory section of the report and are accessed by selecting INTRO.
AUDITWARE ENGINE UPDATE (6/29/00)
1) The column widths between data columns of the combining financial
statements are now set to make a more attractive display when there is no prior year
memorandum total column. Existing statements must be re-created to get this new feature.
This will be helpful for users of AuditWare for Local Governments and AuditWare for
California School Districts where use of the prior year is less common. 2) the optional
schedules of loans, leases and bonds now do not appear on the FieldWork menu unless those
schedules have been activated. 3) An occasional problem loading the FieldWork menu from
the OfficeWork menu has been corrected.
AUDITWARE ENGINE UPDATE (6/27/00)
This is primarily a maintenance update associated with the two new products
for California school districts. Several minor behind-the-scenes enhancements affect all
products. The most major is that when changing the drive for archiving client data
(AuditWare Tools), you are now prompted as to whether you want to update the new drive
with current client's data. Previously this happened automatically.
AUDITWARE ENGINE UPDATE (6/15/00) -
2000 Product Year
1) This update has the AuditWare product year set for 2000 and requires you
to have already installed the 2000 program diskettes mailed to you by AuditWare before
these downloaded files will be usable. 2000 program diskettes have been mailed to all
users who have paid their 2000 annual update fee.
2) The program now checks all network drives (C through Z) to attempt to prevent the same client from being loaded on two different computers at the same time. The drives it checks are those which are "mapped" on the computer doing the checking. There is also a new AuditWare Tool under "Tools Seldom Used" for viewing a list of the clients which are currently active on all mapped network drives.
3) For the benefit of networked laptop users, there is a new AuditWare Tool under "Perform Activities with Archive files" which allows you to change the drive used for archiving client data. If your primary archive files are on a network drive, for instance, you may change to drive C: when you take your laptop to the field and change back to the network drive when you return. If you have a current client, the archive files on both drives are updated when you switch. Also, if you disconnect from the network and forget to change the archive drive to drive C: you are no longer prevented from running AuditWare. Instead, you will be asked whether you want to switch to the C: drive. In this case only the archive file on drive C: is updated.
Associated with this change, the installation procedure now creates an AWBARN folder on drive C: in addition to any other drive you may specify for storing archive files. If you decide to create an AWBARN folder manually on a drive, be sure to copy the file AWBARN.PRN into the folder. You will find it in any AWBARN folder which has been created automatically by AuditWare.
4) The ASCII file conversion process has been corrected to add the "Budgeted" column to the fund list, which is required by the Fieldwork module. Without this change, a "file not found" error will occur.
5) Primarily for the benefit of ALG users, the capacity of chart of accounts setups for individual fund financial statements has been increased from 400 to 600 lines.

1) Changed the combining trust and agency exhibit to use the general purpose
chart of accounts setup when the combining chart of accounts setup is inactive. 2) All
trust and agency exhibits now use the same exhibit alpha letter (E-1, E-2, E-3, etc.).

1) Corrects the print ranges for individual fund statements associated with
the last update, when the setting "Include prior year on individual fund budget
comparison statements?" was added. 2) The FieldWork utility "Refresh the current
client's data files" has been revised to be more memory efficient and run faster.
AUDITWARE ENGINE UPDATE (4/13/00)
1) A new setting now gives you the option of including a prior year
"actual" column on individual fund budget comparison exhibits. It may be found
under the "Exhibit Creation Settings" category of settings or by selecting
FREQUENT (frequently used settings). When this setting is set for YES, you may find the
comparative operating statement unnecessary and wish to deactivate it. 2) The setting
"Create combining exhibits when only one fund is involved?" has been removed
from the Settings menu. It is no longer needed now that individual fund statements are
available for all fund types. 3) A new "LEAD-REF" column has been added to the
trial balance for entering lead schedule references, if desired. These references, which
may be expressed as either numbers or words, may be used when creating lead schedules in
Report Master to capture those categories of data. 4) Combining and individual fund budget
comparison exhibits are now referred to as "schedules," rather than
"statements," in the exhibit's title when the presentation is on a budgetary
basis of accounting. See 1994 GAAFR (blue book), page 261, 3rd paragraph.
AUDITWARE ENGINE UPDATE (4/4/00)
1) New Individual Fund Statements
In a major change and rewrite of the AuditWare engine, individual fund statements are now available in all products for every fund of all fund types. This includes comparative balance sheets, comparative operating statements, budget comparison statements, and when appropriate, comparative cash flow statements. However, only the general fund statements are active by default. To activate others, go to Settings, select FREQUENT, then "Activate or De-Activate an Exhibit or Document."
Be aware that if you change the fund type of a fund for which there are active individual fund statements, those statements will become inactive and must be re-activated and re-created. Also, if you created enterprise fund individual fund statements using a previous AuditWare version which allowed only one enterprise fund, these statements must also be re-activated and re-created.
Even though the data for individual fund cash flow statements is entered manually, they are not on the FieldWork menu (GO_TO, INPUT, OTHER_INPUT) as are general purpose and combining cash flow statements. They must be created using the OfficeWork module, then accessed by using the GO_TO command of the OfficeWork module to enter the data. Also, cash flow statements of all types are now created by the OfficeWork module if they don't exist, even if there is no FieldWork input. Cash flow statements of any type need not be "frozen" after creation.
When viewing individual fund statements in the OfficeWork module you will see a number at the top of the screen which indicates the number of pages which will be printed. This number controls the multi-page indicator "Page 1 of x," "Page 2 of x," etc., during printing. If you increase the number of pages by changing the page breaks, this number should be changed accordingly. It may also be used to force a two-page exhibit to print as one page by changing this number from 2 to 1.
2) Segmentation of the Audit Report Changed
Instead of all combining statements being "B" exhibits, exhibit labels now differ by fund type (Exhibit B-1, C-1, etc.) as well as by sections of the audit report. If combining or individual fund statements for the general fund are active, for instance, they would be labeled B-1, B-2, B-3, etc. Active combining special revenue fund statements would be C-1, C-2, etc., debt service statements would be D-1, D-2, and so forth. Also, all exhibit labels now carry a number. Several of the OfficeWork menus have been revised to reflect this change.
The "Combining Statements" divider sheet is now inactive by default. In its place are active divider sheets for each active fund type (general fund, special revenue funds, etc.). The "Introductory Section" divider sheet is now active by default. This section of the report includes the table of contents, a new "List of Principal Officials" document and, for Audit I.S.D. users, the Certificate of the Board.
The table of contents has also been changed to reflect this new segmentation. It is now patterned after the sample report in the 1994 GAAFR (blue book).
3) Other Important Changes
This is a major change and it is important that this update be installed on all computers upon which AuditWare is currently installed. This prevents the likely corruption of client data which is run on an updated computer and subsequently run on a computer containing an older AuditWare version.
Installing this update of the AuditWare Engine returns all user-set page numbers, print margins and the active status of OfficeWork exhibits and documents to their default values for existing clients. With this update you must also download and install the AuditWare product(s) you are using.
For Users of Audit I.S.D. Texas School Districts, the supplemental exhibits listing loans, leases and bonds (previously "C" exhibits) are now inactive by default. These exhibits have not been a part of the Texas Education Agency's sample audit report for several years and they duplicate information already carried in the notes to the financial statements. If you want to use one of them, you must go to Settings and activate it.
The audit report title has been changed from "Annual Financial Report" to "Comprehensive Annual Financial Report" on the cover sheet and the table of contents.
Page numbers are now omitted from all divider sheets by default.
AUDITWARE ENGINE UPDATE (2/21/00)
At user request, a combining agency fund balance sheet may now be included in
the audit report. Since it is inactive by default, you must go to Settings and activate it
for it to be available.
AUDITWARE ENGINE UPDATE (2/14/00)
1) The major change is a new "budgeted fund" setting which allows
you to specify at the individual fund level which funds are to be considered budgeted or
not. Whether a budget has actually been entered in the trial balance doesn't matter. Only
those funds marked as budgeted now appear on combined and combining budget comparison
financial statements. When expendable trust funds are marked as budgeted they are now
included on Exhibit A-3. Go to Settings and select CATEGORY, then "Individual Fund
Settings" to access this setting. Since the process of creating the title of Exhibit
A-3 has not yet been changed, it may require manual editing in some cases when this
setting is used. That automation will be provided in a future update; 2) Amendment No. 2
to the 1994 Yellow Book has been implemented. This adds a sentence to the auditor's report
on the financial statements. See the News for Auditors page for
more information; 3) When running AuditWare for Local Governments, it is no longer
necessary to include all fund numbers in the "Individual Object Code
Definitions" setup when any one fund number is included. You may enter one or more
fund numbers, then a definition which has no fund number, meaning "use this
definition for all fund numbers not listed;" 4) This update requires that a product
dated 2/14/00 or later be also downloaded and installed.
AUDITWARE ENGINE UPDATE (1/13/00)
Up to 81 funds may now be included on the combining special revenue budget
comparison financial statement. The product(s) you are using must also be dated
1/13/00 or later.
AUDITWARE ENGINE UPDATE (1/12/00)
1) Discretely presented component units have been added to the combined fund
list in Report Master for use with lead schedules, and the default width of
"money" columns has been changed from 11 to 10; 2) Memorandum totals no longer
are printed for the Exhibit A-3 combined budget comparison when only the general fund
appears on the statement; 3) the Alt/Ctrl Q quick key for hiding or displaying quick help
in a trial balance is now active when running AuditWare in Windows.
AUDITWARE ENGINE UPDATE (1/6/00)
1) The print ranges of exhibits A-1, A-2 and A-3 are automatically increased
if these exhibits exceed one page in length vertically. This change is useful only to
users of AuditWare for Local Governments; 2) Column widths have been widened in several
areas of the program to accommodate the year 2000 expressed as four digits. This prevents
these dates from being displayed as asterisks; 3) A minor correction was also made in the
memorandum totals column of the combining trust and agency exhibit; 4) This update
includes the important changes included in the 12/31/99 version and requires a product
dated 12/31/99 or later.
