2004 AuditWare Engine Updates
ENGINE UPDATE 11/16/04
When viewing a document and using the menu which returns you to the main
OfficeWork module menu, you are now prompted as to whether you want the print
range reset for that document, rather it being automatically reset without
asking.
ENGINE UPDATE 11/16/04
When saving or loading client data using a CD or USB drive, AuditWare
now asks you for the drive letter of the drive if you have not supplied it in
the past.
ENGINE UPDATE 11/15/04
1) Additional work has been done on the 11/7/04 update. The 2000 line
maximum for budget comparison schedules should now be fully functional.
2) The command "Create an install disk from a file downloaded from the internet"
has been removed from the AuditWare Tools menu. All downloads should now be made
to the "c:\aw\download" folder so that they are automatically installed by
AuditWare. The creation of install disks for updating other computers which do
not have internet access should now be accomplished by selecting "Create an
AuditWare installation disk" from the AuditWare Tools menu.
ENGINE UPDATE 11/7/04
The maximum number of lines in an individual fund budget comparison
statement or schedule has been increased from 1000 to 2000 lines to benefit
certain ALG users.
ENGINE UPDATE 10/21/04
A minor change was made to correct a problem with seldom-used combining
statements for multiple general funds.
ENGINE UPDATE 10/20/04
The opinion on the financial statements has been revised to change the
word "We" to "I" in the phrase "We have applied certain limited procedures" when
the audit firm is a sole proprietor.
ENGINE UPDATE 10/10/04
The opinion on the financial statements has been revised to always
include the phrase "and the aggregate remaining fund information," rather than
only when fiduciary funds are active.
ENGINE UPDATE 9/29/04
This change affects users of AuditWare for Texas School Districts only.
In Report Master the setting "Collapse projects into funds?" now works for the
prior year even when the current year fund number is three digits (say 199 in
the current year but 1993 in the prior year).
ENGINE UPDATE 9/25/04
This change affects users of AuditWare for California School Districts
only. The sequence of the schedules required by the state has been changed, both
as to the "table" number assigned and their position in the table of contents.
The change involves moving the Schedule of Expenditures of Federal Awards (SEFA)
to the end, just before the optional "notes to supplementary information." The
change was necessitated because the State no longer requires the SEFA except for
single audits. For reports in progress, reprint the schedules and re-create and
reprint the table of contents.
ENGINE UPDATE 8/24/04
The auditor's opinion on the financial statements for the new reporting
model has been changed as follows:
1) It now uses sole proprietor pronouns ("I" instead of "we") when the audit
firm is a sole proprietor in the sentence which refers to the introductory and
statistical sections of a full CAFR. Thanks to Raul Hernandez, CPA of Alice,
Texas for catching the need for this change.
2) The phrase "and the aggregate remaining fund information" is now always used
when referring to the opinion units, rather than only when fiduciary funds are
active. Thanks to Tray Moses of John Pechacek, CPA, Bellville, Texas, for
catching the need for this change. See par. 4.23 of AICPA's ASLGU, GASB 34
Edition.
ENGINE UPDATE 8/23/04
A problem has been corrected in which the first line of an individual
fund budget comparison schedule was being omitted in certain circumstances.
ENGINE UPDATE 8/18/04
The reconciliations may now be created in the OfficeWork module without
generating an error message when only one reconciling item has been identified
by the user. See #4 under the 6/17/04 update.
ENGINE UPDATE 7/6/04
Combining statements of changes in fiduciary net assets are now active
for private-purpose trust funds and pension trust funds. These statements, along
with the basic statement of changes in fiduciary net assets, have also been
added to the menu which appears when you select GoTo, Input, Other Input from
the FieldWork module menu.
ENGINE UPDATE 6/22/04
A problem with selecting GoTo, Input, Other Input from the FieldWork
menu which was created with the 6/17/04 update has been corrected.
ENGINE UPDATE 6/17/04
1) The archive file of the current client is now always updated when you
exit from AuditWare (rather than a Yes/No menu asking if you want to do so).
2) The current client is now always de-activated when the drive setting for
archiving client data is set for a network drive (a drive other than C:).
3) The "Restricted For" definitions are now reloaded in the FieldWork module
when they have been changed by the user.
4) The 5/21/04 update no longer generates an error when the reconciliations are
created and no reconciling items have been identified by the user.
5) The exhibit "letter" (A, B, C, etc) now changes between the RSI and the
Supplementary sections when combining statements are active but the combining
statements of governmental funds are not active.
6) When starting a new client, you are now asked if you want to start in the new
(GASB 34) or old (pre-GASB 34) reporting model. For ALG users, a message appears
discussing the implementations for setting up the chart of accounts.
The following Engine changes apply only to users of the AuditWare for California School
Districts product:
7) The "Organization" document previously required by the State has been removed
from the audit report. Users should activate the "List of Principal Officials"
document in the introductory section if they wish to present similar
information).
8) The Schedule of Charter Schools now required by the State has been added to
the FieldWork module input menu.
9) The Schedule of Expenditures of Federal Awards (SEFA) , which is now required
by the State only for a Single Audit, is no longer always active.
10) There is a new setting called "Automatically de-activate the SEFA schedule
when not a single audit?" which should be set for No in the rare case you want
to present it for non-single audits. Then activate it using the "Activate or
De-activate exhibits or documents" setting.
11) The title of the schedule presenting the reconciliation to audited financial
statements has been changed on the table of contents and AuditWare menus to the
title now used by the State.
12) The Schedule of Charter Schools has been added to the table of contents.
ENGINE UPDATE 6/6/04
The Statement of Activities now supports multiple Discretely Presented
Component Units with the same combined fund number. Such units will be now be
aggregated on a single line of the statement when it is created.
ENGINE UPDATE 5/21/04
The process of creating the government-wide reconciliations has been
revised to support reconciling items of more than one line.
ENGINE UPDATE 5/20/04
A new setting has been added called "Include original budgets on
supplementary budget comparison exhibits?". When set for No (the default
setting), a column for the original budget is included in a budget comparison
schedule only when it is reported in either the RSI or basic sections of the
report (in other words, when it is either the general fund or a major special
revenue fund). Optional schedules carried as supplementary information, if
active, will omit the column for original budget. GASB 34 requires presentation
of the original budget only for the required schedules. For users who cannot
import the original budget from an ASCII file, this new setting makes possible
the presentation of any number of supplementary budget comparison schedules
without having to key in the original budget data in the trial balance. To
change whether a budget comparison schedule is active, change the "Is this a
budgeted fund?" setting in the "Individual Fund Settings" category of settings.
ENGINE UPDATE 5/18/04
A new setting has been added called "Create the Statement of Activities
for printing on one page?". The default setting is No. When set for No,
AuditWare automatically creates the statement on one page when the number of
active columns will comfortably fit on one page, otherwise using an additional,
facing page. Setting this setting for Yes will force all columns to the left
page, even if it is necessary to "shrink to fit." It is designed for situations
where only one or two columns are on the right hand side.
ENGINE UPDATE 5/16/04
A new feature has been added to Report Master which allows you to search
any or all trial balances for a particular dollar amount. To do so, set your
report type as "Lead Schedule," then select CUSTOM and enter the minimum and
maximum amounts (as positive numbers) on the line which reads "Dollar Amount."
It is advisable to set a spread of at least two or three dollars to allow for
rounding differences.
ENGINE UPDATE 5/15/04
1) When performing input for a financial statement setup (under "Set Up
the Chart of Accounts") and using the "Limit to this fund type" column of the
setup, you may now use the word "NOT" preceding the fund type, causing it to
have the meaning of "all fund types but this one." An entry of NOT SRF, for
instance, would mean to capture a dollar amount in all funds except special
revenue funds.
This capability was added primarily
for use in the general revenue (bottom) section of the Statement of Activities.
Previously the line "Tax Revenue, Levied for Debt Service" contained DSF (debt
service fund) in the "Limit to this fund type" column and GEN (general fund) for
the "Tax Revenue, Levied for General Purposes" line. However, last year a few
users posted their government-wide adjustments to tax revenue to a "governmental
activities" fund type, causing those dollar amounts not to be reported. Now, "DSF"
and "NOT DSF" will be used on "debt service" and "general purpose" lines of the
setup and no dollar amounts will be "lost."
2) When using the government-wide adjustment journal, the account
(object code) definitions are now reset less frequently in some cases in order
to speed up the process for the user when dealing with a journal with a large
number of entries. To compensate, a new DESCRIPTIONS selection has been added to
the journal menu under TOOLS which allows you to reset the descriptions at any
time.
ENGINE UPDATE 5/1/04
1) The automated lookback adjustment for an internal service fund is now
omitted when the government-wide fund type for a fund is set for Business-Type,
even if the setting for the automated lookback for that fund is set for Yes.
2) A message has been added in connection with today's update of the ALG
product.
ENGINE UPDATE 4/27/04
Dollar signs are now automatically placed on the "Total Assets" lines of
combining balance sheet statements.
ENGINE UPDATE 4/26/04
1) Since the threshold for single audits increases to $500,000 in
federal expenditures for fiscal years ending in 2004 and later, you are now
prompted to re-confirm whether a client qualifies when the data year is set for
2004.
2) The 80-fund maximum for funds which can be presented on a combining statement
previously counted all funds of that type, regardless of whether they contained
data. Now, when the settings for whether to include inactive funds is set for
No, the 80-fund maximum counts only the active funds.
3) The default settings for new data periods for whether to include in active
balance sheets and operating statements on combining statements have both been
set for No.
4) An overlap between the operating statement setting in #3 above and the
setting for positioning of dashes which represent zeros has been corrected. If
you have recently changed either of those settings you may need to make the
change again.
5) There is a new setting which allows users of products other than TSD (ALG,
CSD, etc.) to include fund numbers above the column heads for each fund on
combining statements.
ENGINE UPDATE 4/19/04
1) A statement of net assets for a single fund may now be generated from
the FieldWork module for a component unit fund.
2) The fund types are now correctly displayed when selecting a fund for the
above and fiduciary fund types are present.
3) A better job is now done in finding the total assets line on the governmental
balance sheet for placement of dollar signs.
ENGINE UPDATE 4/8/04
1) When changing the year to the current version year, AuditWare now
checks for the existence of client data which is ten years old and gives you the
opportunity to delete it.
2) For the ALG product, when "Run the Current Client" is selected and there is
no data for that data period, the user is now prompted with a Yes/No menu as to
whether to create data for that period.
ENGINE UPDATE 4/1/04
The process of posting the government-wide adjustment journal has been
revised to allow for fund numbers with two leading zeros (such as "001").
ENGINE UPDATE 3/30/04
1) The delinquent tax schedule is now available to activate for users of
AuditWare for Local Government.
2) For TSD users, the template versions of exhibits A-1, B-1 and C1R may now be
used to create the TEA data feed file.
3) A password is no longer required for ALG and CSD users when switching from
the old to the new reporting model.
ENGINE UPDATE 3/16/04
When exiting from setting up the chart of accounts, you are now returned
automatically to the Access Menu when no funds have yet been established. The
menu allowing access to the FieldWork and other modules no longer appears. This
will only affect users of AuditWare for Local Governments.
ENGINE UPDATE 3/2/04
A correction was made to prevent an error occurring when a change is
made in Individual Fund settings which requires the re-saving of the associated
trial balance.
ENGINE UPDATE 3/2/04
A correction was made in the table of contents when using the CAFR
add-in to include MD&A and to properly present combining agency statements under
a "fiduciary funds" heading.
ENGINE UPDATE 2/9/04
You can now import a paragraph from a different client into the notes to
the financial statements.
ENGINE UPDATE 2/3/04
In the new model, a better job is now done in finding the location for
automatic placement of dollar signs on the basic and combining balance sheets.
Signs are now placed on the "Total Assets" line even when the line immediately
below it is a "Does not foot by this amount-->" line and signs are now placed on
the first active line in the liability section, rather than just on the
first line as in the past, thereby assuring that the dollar signs will still be
present when the inactive lines are removed.
ENGINE UPDATE 1/31/04
1) In the new model, when the setting is changed to present budget
comparison statements for major funds in the basic section of the report, rather
than in RSI, the statements are now properly positioned following the
governmental operating statement reconciliation.
2) A correction was made in client2, one of the settings files, associated with
the 12/30/03 version.
3) On 2/2/04 the version date of this engine update was corrected to be 2/2/04,
rather than 2/2/03.
ENGINE UPDATE 1/15/04
1) The "Import Paragraph" command in the FieldWork notes menu
is now functional again for importing from a different client. A change in the
12.30/03 update had made it nonfunctional.
2) In the old reporting model, general purpose exhibits A-2 and A-3 will now accommodate
exhibit setups with up to 128 rows, an increase of 60 rows. This affects ALG
users only. Doug P., this is for you.
ENGINE UPDATE 1/12/04
When there are multiple discretely presented component units, the column
headings on the government-wide statement of net assets and statement of
activities now automatically change from "Component Unit" to
"Component Units".
ENGINE UPDATE 1/5/04
1) A problem with the 12/30/03 update has been corrected. The problem
occurred when making journal entries in the government-wide adjustment journal
and the trial balance you selected to copy from is not already loaded.
2) A proprietary feature has been revised to de-activate the creation of
combined funds. This feature is used by only one audit firm.
