UPDATE 7/21/10
A new exhibit has been added to the AuditWare User Manual entitled "Installing Under Windows Vista and Beyond" which deals both with Windows Vista and Windows Version 7.

This changes the AW.BAT file from loading the ACCESS file (with no file extension specified) to loading the ACCESS.WK3 file. This prevents the inadvertent loading of an ACCESS.WK4 file when loading AuditWare and when that file exists.

Chapter 10 of the user manual, previously titled "Implementing the new reporting model," has been split into two chapter, the first dealing with initial implementation (the first year) and the second dealing with the input and adjustments needed every year. Also, Chapter 9, which lists AuditWare changes, has been updated for 2004.

The installation procedure now removes from memory the macro file which runs the access menu before starting the installation when an installation is run from within AuditWare. Not to do so was causing that file not to be updated on some computers and possibly removing it entirely on others.

The batch file which runs when switching products now deletes the FOOT file (new model notes to the financial statements) before loading the new product. If the product being loaded does not contain such a file, the notes will then be set for "Placeholder Only" automatically in the new model.

1) The "Program Revenue Matrix" has been made a part of AuditWare products. Also, the batch files which run when switching products, creating installation disks and installing have been revised to accommodate this change.
2) When installing AuditWare products you are now prompted for your state when installing a CD which includes products associated with more than one state. This change is primarily associated with the CDs distributed at AuditWare workshops and seminars, allowing us to include all products (Texas and California) on all CDs while preventing the cluttering up of your hard disk with products you will never have occasion to use.

The audit data feed file, when present, is now automatically placed in the C:\Aw\Datafeed folder and this update creates that folder on your computer.

2) Exhibit 5 of the user manual, "AuditWare Chart of Accounts" has been revised to state that if the revenue function is left blank for revenue identified as program revenue (1, 2 or 3 in the AW column of the trial balance), that revenue is allocated to all expenditure functions in the trial balance.

1) Chapter 10 of the user manual, "Implementing the New Reporting Model," has been revised to add a discussion of the new menu command for automatically allocating program revenue among revenue functions based on percentages of  functional expense. Guidance regarding the use of equity codes was also added to the section on using the government-wide adjustment journal.
2) The menu tree for the Codes menu was revised to add the "Allocate Revenue" command.

Chapter 10 of the user manual, "Implementing the New Reporting Model," has been revised to add a discussion of the new setting for automatically making internal service fund "look back" adjustments. See the Engine Changes dated 9/10/02 for more information.

UPDATE 8/25/02
Chapter 10 of the user manual, "Implementing the New Reporting Model," has been revised to remove the instruction that equity amounts be adjusted out of internal service funds when making the "look back" adjustments. Only the original revenue and expense need be removed.

Chapter 1 of the user manual,"Getting Started," been revised to advise of a special step when performing an initial installation using Windows XP.

The user manual exhibit which lists the reconciliations for the new reporting model has been revised to match the changes made in the AuditWare Engine today.

UPDATE 6/1/02
Client files (archive files) may now be loaded from a CD-ROM disc without having to include them in an \AWBARN folder on the disc. To do so, you must include an CDROM.FLG file on the disk, since AuditWare uses its existence to know that it is running from a CD. It doesn't matter what's in the file, if anything; only its existence is tested by AuditWare. This change was primarily so that sample clients could be included on CDs used at the summer seminars.

The following changes have been made to Chapter 10 of the User Manual, "Implementing the New Reporting Model" under the section "Implementation Steps in Brief":
1) Instructions were added to adjust out "Investment in Fixed Assets" and "Amounts to be Provided" when present.
2) In the section regarding checking out your work a remark was added that by selecting "custom" from the lead schedule menu in Report Master reports can be generated based on the "AW" column of the trial balance (program revenue, capital assets, related debt, etc.).

UPDATE 5/15/02
1) Chapter 10 of the user manual has been revised to add the suggestion that the TEA's program revenue matrix is helpful when determining the category (program or general) of revenue for the new reporting model.
2) The TEA's program revenue matrix has been added as Exhibit 14 of the user manual and can no be accessed using AuditWare's help menu.

Chapter 10 of the user manual has been revised to expanded the section on making "look back" adjustments for internal service funds and to provide an example.

Chapter 10 of the user manual has been expanded further to include a section on "Dealing with the Reconciliations." Also, the explanation of the "look back" adjustments for internal service funds has been revised in that chapter.

1) Chapter 10 of the user manual and help, "Implementing the New Reporting Model," has been expanded.
2) The "Significant Changes in Audit Guidance" exhibit of the user manual has been updated from providing 2000-2001 guidance to providing 2001-2002 guidance.

1) Conforming changes were made in connection with major Engine Changes.
2) The "Equity Closing Codes" exhibit of help has been removed and replaced with "AuditWare Chart of Accounts," a list of the arbitrary accounts which must be entered in the new RFN (revenue function) and AW (AuditWare) fields of the trial balance to produce the government-wide financial statements under the new reporting model.

UPDATE 2/1/02
1) A new batch file (ZAPDATA.BAT) has been provided which in most cases will only be used under Windows XP. When deleting files from the \AWDATA folder in connection with switching clients, it provides a series of commands which delete files which have file extensions that start with each letter of the alphabet or numbers 0 through 9.

2) When using "Load a Different Client", additional help about how to proceed now appears on the screen  in the rare case where not all files of of the previous client are deleted from the \AWDATA folder. This and other refinements were provided in files ARC.BAT, LOADHARD.BAT and LOADFLOP.BAT.

UPDATE 1/11/01
While minor changes were made, this is primarily a maintenance update to bring the version date consistent with that of the AuditWare Engine.

UPDATE 12/9/01
A minor change was made in the installation procedure to assure that the AuditWare version year is set for the current year when you start a new client, making it unnecessary to use the AuditWare Tools menu to change it.

UPDATE 11/13/01
A minor change was made in the process of creating an install disk useful only to those who want to use a CD-RW drive to do so. Most users will not need this update.

UPDATE 9/30/01
The installation procedure has been changed. Each time you install either a diskette or CD-ROM disc which installs the AuditWare Utilities a menu appears which gives you the opportunity of placing AuditWare on your desktop Programs menu. This change is primarily for initial installations. If you are using a shortcut or if AuditWare is already on your "Start, Programs" menu you will not need this update.

UPDATE 9/26/01
When loading a client from a floppy disk and that client is already on the hard disk, a backup copy of the client's archive file is now copied to the \AW\TEMP folder in case the loading process is unsuccessful, such as when the diskette has a bad sector. See Engine Changes for more details.

A minor change was made affecting only one user. Others will not need this update, assuming the 9/4/01 or 9/15/01 update has been installed.

UPDATE 9/15/01
 A minor change has been made in the process of creating an installation disk for the AuditWare Engine when selecting "Create an AuditWare installation disk" from the "Tools which are seldomly used" menu. Most users will not need this update (assuming the 9/4/01 update has been installed).

UPDATE 9/4/01
1) All installation files have been updated to allow up to 3 products or up to 2 products and the AuditWare Utilities to be placed on the same diskette when selecting "Create an install disk from a file downloaded from the internet (TheAudit.com). You can also install an AuditWare CD-ROM installation disk when available. To place multiple products or AuditWare Utilities on the same diskette, simply process one of them, then for each of the succeeding ones answer No ("N") when asked if you want to delete the existing files from the diskette. Incidentally, you will be asked "Do you want to update this computer?" after each one. You will save time if you answer No on each one until you get to the last one, then everything on the diskette will be installed at once.

2) There is a new tool for those who have a CD-RW drive. It is listed under "Tools Seldom Used" and allows you to prepare files for creating an CD installation disk . You must first have created a folder called "CDCopy" on your C: drive before you can use it. The command is called "Prepare files for a CD-ROM disk" and will prompt you as to which products you want to include on the disk. The command uses the latest versions of the Engine, Utilities or products you have installed on that computer, so you must first have updated that computer with the latest versions (not just downloaded them from the internet) before the process is meaningful. This allows users who have a number of computers on which AuditWare is installed to update only one of them from the internet and then to burn one CD from that computer and update all products, the engine and utilities with that CD on all other computers. The resulting CD is used just like multiple diskettes are.  Select "Install and AuditWare Update Disk" from the AuditWare Tools menu, then select "CD-ROM" and enter the drive letter.

UPDATE 8/15/01 (Initial Update)
1) The AuditWare Access Menu file has been removed from AuditWare Utilities and placed in the AuditWare Engine. Within Utilities this required changes in the installation procedure. The AW.BAT file, which is recreated with each installation or update and placed in the \aw\utl folder, now loads the access menu file from the \aw folder, rather than from the \aw\utl folder. This should make changes to AuditWare Utilities less frequent.

2) When a new installation disk is created on a diskette for a product, the product password for changing the year to the new year is now included. This involved changes to one of the batch files in Utilities.

3) A version date of AuditWare Utilities has been added and now appears at the bottom of the AuditWare Access Menu screen.
